1. Who we are

The Productivity Kit ("we", "us", "our") is a professional invoicing application for tradespeople and freelancers, available at the-productivity-kit.com.

2. Data we collect

When you use The Productivity Kit, we may collect the following information:

Account information: Email address and a securely hashed password.
Business information: Business name, address, phone number, logo, and tax/VAT details you provide for your invoices.
Invoice data: Client details, line items, amounts, currency, notes, and payment status.
Photos: Images you upload as proof-of-work attachments on invoices.
Signatures and location: Client signatures captured on-device, along with GPS coordinates and timestamps recorded at the time of signing (with your permission).
Payment information: Payment transactions are processed by Stripe. We do not store your card details.

3. How we use your data

We use your data to:

Provide and maintain the invoicing service.
Generate, send, and track invoices on your behalf.
Process subscription payments via Stripe.
Send transactional emails (invoice delivery, payment confirmations, chasing reminders) via our email provider.
Improve the service and fix issues.

4. Cookies

We use a single authentication cookie (JWT) to keep you logged in. We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

5. Third-party services

We share data with the following third parties only as necessary to provide the service:

Stripe — Payment processing for Pro subscriptions and invoice payments. Subject to Stripe's Privacy Policy.
Resend — Transactional email delivery (sending invoices, reminders). Subject to Resend's Privacy Policy.
OpenAI — Voice-to-text processing for voice invoice creation. Audio is sent to OpenAI for transcription and is not retained by them beyond processing. Subject to OpenAI's Privacy Policy.

6. Data retention

We retain your account and invoice data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it by law (e.g., financial records).

7. Your rights

Depending on your location, you may have the right to:

Access the personal data we hold about you.
Correct inaccurate data.
Request deletion of your data.
Export your data in a portable format.
Object to or restrict certain processing.

8. Data security

We use industry-standard measures to protect your data, including encrypted connections (HTTPS/TLS), hashed passwords, and restricted server access. However, no method of transmission over the internet is 100% secure.
